Winglo statuses and terminology

Understand common Winglo terms and the difference between work, approval, connection, and delivery states.

The same item can have a work status, an approval status, and an external delivery result. Read the label in context rather than treating every positive state as “finished.”

Work and content terms#

TermMeaning
DraftWork exists but is not approved or published
In progressA department or workflow is actively working
WaitingWork needs input, time, access, or another dependency
In reviewA person or review process needs to assess the item
ApprovedA required decision has been granted; later execution can still fail
RejectedThe proposed item or action must not proceed in its current form
Published or sentWinglo received a successful delivery result; verify at the destination when the final external state matters
ArchivedRemoved from active work without necessarily being deleted
FailedThe attempted step did not complete; read the error before retrying

Not every page uses every term, and some providers return more specific states.

AI departments#

An AI department is a role-focused Winglo work area led by an AI department lead: Max for Marketing, Sarah for Creative and Brand, Nova for SEO and Search, Aria for Operations, or Remy for Sales.

Active means the department can receive new work. Paused means new department work is stopped, but a task or external action already underway may continue. Unavailable means the department cannot currently be activated for that workspace.

Conversations, handoffs, and memory#

A conversation is a saved chat thread. A handoff asks another available department to contribute to work while the original department remains responsible for the conversation. It does not approve an action.

Memory is reusable department context. Knowledge contains stable facts, Learnings contains patterns from work and feedback, and Decisions contains approved choices intended to guide later work.

Inbox, approvals, and reports#

The Inbox brings together items that may require attention. An approval authorizes the exact proposed action shown. It is not a general permission for later actions and does not guarantee that an external provider will complete the request.

A report is a finished analytical output. Pinning, approving, downloading, and deleting are separate actions.

Workflows and triggers#

A workflow is repeatable work with defined steps that can run manually or on a schedule. A workflow run is one execution of that workflow.

A trigger is a rule that matches an event from a connected tool and queues an available workflow. An event can be received without matching a rule, and a rule can match without successfully queuing work.

Connectors, MCP servers, and tools#

A connector is an integration listed by Winglo. A connection is your workspace's authorized link to that service. Department access determines which compatible department may use it.

An MCP server advertises individual tools. Each tool can be automatic, approval-required, or denied for a department. Read/write labels are supplied by the publisher and should be treated as descriptive claims, not guarantees.

Monitoring terms#

Overview summarizes the workspace. Live shows current work and incoming events. Activity provides a time-ordered record. Execution History records earlier runs. Analytics presents measured activity or performance, while Reports contains completed analysis.

When a label is unclear#

Open the item and read its detail, latest error, approval state, and external result. Use Troubleshooting Winglo before retrying an action whose outcome is uncertain.
