Manage AI departments

Activate, pause, name, instruct, and reset the AI departments available to your workspace.

Use the workspace department settings to control which AI departments are active. Department availability and limits depend on your workspace.

Open department management#

Go to Settings → My AI Departments. Each card shows a department lead and its current availability or active state.

Winglo can include Max for Marketing, Sarah for Creative and Brand, Nova for SEO, Aria for Operations, and Remy for Sales. A department that is unavailable cannot be activated from this screen.

Activate a department#

Choose the activation control on an available department. If setup is incomplete, Winglo can direct you to that department's guided setup.

Only activate departments that have enough business context to work safely. Finish the setup and review its memory before assigning important work.

Activation can fail when the workspace has reached its active-department limit. The product shows the applicable limit.

Pause a department#

Use the pause or active toggle to stop new department work. Then check:

  • Workflows that are already running
  • Approvals waiting in the Inbox
  • Connected publishing or delivery tasks
  • Live activity

Pausing a department does not mean an external service undoes work already completed.

Change the display name#

When the field is shown, change the department lead's display name and save. The department's role and capabilities do not change.

Use a name that teammates can recognize. Avoid using the name of a real employee if that could confuse customers or staff.

Add custom instructions#

Custom instructions guide how the department works. Keep them short, specific, and compatible with your business rules.

Useful instructions can cover:

  • Required tone or terminology
  • Approval boundaries
  • Markets or customers to exclude
  • Evidence and citation expectations
  • Handoff rules
  • Data that must not be used

Do not place passwords, API keys, or short-lived task details in custom instructions.

Use department settings#

Each department also has its own Settings page. It can contain local controls for autonomy, instructions, or pausing. Use the lowest autonomy that supports your process.

Guarded actions can still require approval even when autonomy is higher.

Reset department setup#

A reset lets you run guided setup again. It can clear setup data for that department.

  1. Open the reset control.
  2. Read the preview of affected information.
  3. Save any facts you still need.
  4. Confirm only when you intend to replace the setup.
  5. Complete the new setup before resuming important work.

Reset is not a troubleshooting shortcut. Fix a connector or single memory item directly when that is the real problem.
