Manage department memory

Review and maintain the knowledge, learnings, decisions, and source documents used by each department.

Memory gives an AI department reusable context. Keep it accurate, current, and limited to information the department needs.

Understand the memory tabs#

Open a department, then choose Memory. The available tabs are:

  • Knowledge: stable facts about the business, audience, offer, or process
  • Learnings: patterns found through completed work and feedback
  • Decisions: approved choices that should guide later work

Memory belongs to a department. Check each department that needs the same important fact.

Add a memory item#

Choose the add control and enter a clear, complete statement. One item should contain one fact or rule.

Good example:

Use "customers" instead of "users" in customer-facing copy.

Avoid vague notes such as “make it better.” Include the scope or date when the fact can expire.

Do not store passwords, API keys, authentication codes, payment details, or unnecessary personal data in memory.

Upload a knowledge document#

The upload mode accepts supported text, Markdown, or PDF documents. Use it for approved business material that is easier to review as a document.

After upload, Winglo can extract suggested memory items. Review every suggestion. Select only accurate, useful facts before saving them.

Keep the original document in your business system of record. Winglo memory is working context, not a replacement for controlled document storage.

Edit an item#

Choose Edit when a fact is incomplete or has changed. Preserve the meaning that is still correct and add the effective date when it matters.

Review linked work if a major rule changes. Old reports and already completed actions do not update when memory changes.

Retract an item#

Choose Retract when the department should no longer rely on the item. Read the confirmation before continuing.

Retraction is better than adding a second memory item that contradicts the first. Add the replacement only after the old rule has been retracted or corrected.

Review memory health#

Use tags, source details, and dates to find weak items. Review memory after:

  • A product, price, audience, or brand change
  • A new legal or approval rule
  • A repeated correction
  • A staff or process change
  • A document becomes outdated

Resolve conflicts#

When two items conflict, confirm the current rule with the business owner. Retract the old item and write one clear replacement. Then tell the department which active work must be reviewed again.
